    JOB SUMMARY

    In this position you will work closely with and support the Executive Director, while overseeing various aspects of our annual documentary film festival every November, as well as DOC NYC's year-round programming. Areas of responsibility touch on sponsorship management, website updates, print advertising, budget tracking, vendor management, and graphics creation, while managing external relationships with vendors and internal relationships with legal, finance, and budget departments. You will also provide support for on-the-ground operations, as well as overseeing catering and executing on-site events during the November festival. 

     

    JOB RESPONISIBILITIES

    • Sponsorship: The coordinator manages individual contracts and invoices for each sponsor, vets drafts with the legal department, oversees sponsored events, executes on-site deliverables, manages in-kind sponsor relationships, writes and executes grant applications, and uploads contracts into Conga. 

    • Budget and Expense Tracking: The coordinator works with the ED to oversee and manage spending across all departments, track expenses, and update the working budget. 

    • Database Management: Integrates and utilizes Airtable, trains staff, integrates Dropbox, manages high-level automations and provides assistance for users. 

    • Website: The coordinator manages daily content, metadata, testing, and troubleshooting for the festival website, updates sliders, and executes data uploads.  

    • Independent Contractors/Vendors: The coordinator manages vendor qualifications and paperwork, creates individual contracts, and uploads all contracts into Conga. 

    • Invoicing: The coordinator is responsible for inputting, coding and routing of invoices, including oversight of any temp staff working in that area.  

    • Print Advertising: The coordinator manages print advertising, oversees outreach, sells ads to sponsors and industry members, communicates with vendors, and manages the transition from printed ads to publications. 

    • Graphics: The coordinator creates graphics for the website and assists with templates as needed. 

    • Operations Support: The coordinator attends meetings, manages excess workload, oversees videography staff, organizes and executes key events, and oversees Festival Lounge event and party details. 

     

    QUALIFICATIONS (Required & Prefered)

    • Bachelor of Arts degree, preferably in a related field 

    • 1-2 years of experience at a film festival, art house cinema, independent film company or arts organization 

    • Knowledge of and interest in documentary film 

    • Familiarity with Airtable and other database systems a plus 

    • Familiarity and experience with Microsoft Office Products 

    • Experience with Oracle is a plus. 

    The base compensation range for this position is $45,000 to $52,000 commensurate with experience.
